Every referral in the Lexamica system must meet the following criteria:

  1. Documented client consent

  2. Verified contact information

  3. Correct jurisdiction

  4. Within statute of limitations

The following guidelines are written to help referring firms maximize their revenue through strong referral workflows.

Three grades of referrals are allowed on the Lexamica platform:

  1. Standard

  2. Pre-qualified

  3. Second-look

Each is defined below and has a place in a law firm's referral business.

Standard Referrals (⭐️⭐️⭐️)

The backbone of a successful referral practice. These 5-minute intakes focus on efficiency and volume, capturing essential who/what/when/where/why information without over-screening. Perfect for clear liability cases and standard personal injury matters and for referring more complex case types (med mal, employment, class action) to expert attorneys. Creates consistent revenue through high volume and quick turnaround.

A standard referral should be completed in 5-10 minutes, focusing on gathering essential information that allows receiving firms to make an initial evaluation. The goal is to capture a complete narrative while maintaining efficient processing.

The intake should establish:

WHO: Identify the key parties involved and their relationships to each other. This includes gathering the client's full contact information and identifying other relevant parties to the claim.

WHAT: Document a clear description of the incident or issue. This should include the basic nature of any injuries or damages, along with the current status of the situation.

WHEN: Establish a clear timeline of events, starting with the incident date and including any key subsequent events. Note any immediate deadlines or time-sensitive issues.

WHERE: Record the location of the incident and establish proper jurisdiction. This includes noting any specific venue considerations that might affect the case.

WHY: Capture the client's understanding of why they have a legal claim and what outcome they're seeking. Note any pressing concerns that require immediate attention.

Pre-Qualified Referrals (⭐️⭐️⭐️⭐️⭐️)

Premium Qualified Referrals are more time-consuming but are a way to increase fee sharing percentages and retain rates for referring firms. The practice-specific screening provides immediate value to handling firms and accelerates case progression.

Premium referrals build on the standard intake by adding practice-specific screening and detailed documentation. This deeper evaluation focuses on elements unique to the case type and typically requires 20-30 minutes to complete properly.

For instance, in a medical malpractice case, we would identify specific providers, document the standard of care violation, and assess the potential for expert review. For product liability, we would capture specific product details, establish a defect theory, and research similar incidents.

These enhanced referrals often justify higher referral fees due to the additional value provided to receiving firms. However, we maintain efficiency by conducting this deeper screening only when case value and complexity warrant the investment.

Second Look Referrals (⭐️⭐️)

Second Look referrals are cases that have already been evaluated and declined by at least one qualified firm. While these cases may have merit, they typically face significant challenges with liability proof or damages valuation that made them unsuitable for the primary firm's criteria.

Common characteristics of Second Look referrals include:

  • Clear but challenging liability issues

  • Damages that fall below certain firms' thresholds

  • Complex causation questions

  • Resource-intensive proof requirements

  • Unusual fact patterns

  • High-risk elements

These referrals require special handling because:

  1. The receiving firm needs to understand why previous firms passed

  2. The case often requires a different approach or resource commitment

  3. The referring firm may need to adjust client expectations

  4. Alternative resolution strategies may need to be considered

Second Look referrals may still have value for:

  • Firms with different risk tolerances

  • Boutique practices specializing in challenging cases

  • Firms in different jurisdictions with varying precedent

  • Practices with lower overhead or different cost structures

The key is transparency - both referring and receiving firms should be clear that the case has been previously reviewed and declined, along with understanding the specific challenges identified.

Unacceptable Quality Issues (❌)

Our handling firm community plays a crucial role in maintaining Lexamica's quality standards by reporting serious referral issues. The most concerning problems include:

  • Referrals lacking documented client consent

  • Cases submitted without client knowledge

  • Missing critical contact information

  • Apparent spam or junk submissions

  • Multiple submissions of the same case

When handling firms report these issues, we take the following steps:

  1. Document the specific quality concerns

  2. Notify the referring firm of reported issues

  3. Require immediate corrective action

  4. Monitor subsequent referrals for improvement

If a referring firm fails to address reported quality issues promptly or shows a pattern of problematic referrals, they may face removal from the Lexamica platform. Our goal is to maintain high standards while giving referring firms a clear opportunity to improve their processes.
